How AI can reduce administrative workload
AI helps most with high-volume, rule-shaped admin: drafting routine replies, summarising documents, extracting data from forms and invoices, categorising incoming requests and preparing first-draft schedules. A human should still approve anything that commits money, makes a promise or touches a customer relationship.
Good candidates
Pick tasks that are frequent, text-heavy and tolerant of a review step.
- Drafting repetitive replies and follow-ups for human approval.
- Extracting fields from invoices, forms and PDFs instead of retyping them.
- Summarising long threads, calls or documents into an action list.
- Routing and categorising incoming requests.
Poor candidates
Anything requiring accountability, judgement about a specific customer relationship, regulated advice, or final pricing should stay with a person — with AI at most preparing the draft.
Measure the same way you would any change
Record the baseline hours before the change, then measure the same task over a comparable period afterwards. Time saved is capacity recovery until you actually reduce spend or sell the freed hours.
Apply this to your business
The free Cost Leak Finder walks the same method and returns your Business Cost Leak Score. Hard-dollar savings, revenue recovery, capacity recovery and cost avoidance stay separate, and every figure is labelled ESTIMATED until measured.
