What is a business cost leak?

A business cost leak is recurring spend, rework, or lost staff capacity that produces no proportional value — for example a manual process repeated weekly, a duplicated software subscription, or quotes that go out too late to win. Leaks are found by measuring how often a task happens, how long it takes, and what the people doing it cost per hour.

Leaks are recurring, not one-off

A one-time expense is a decision. A leak is a pattern: the same low-value work, the same duplicated tool, the same delay, repeating every week until someone measures it. That repetition is what makes small numbers material — a task costing $40 of labour twice a week is roughly $4,000 a year in the same labour you already pay for.

The four categories must stay separate

Mixing categories is the most common way owners overstate savings. Cosmic Genius keeps them apart because they behave differently on your bank statement.

  • Hard-dollar savings — cash you stop spending, such as a cancelled or consolidated subscription.
  • Revenue recovery — revenue you were losing to slow follow-up, missed quotes or unbilled work.
  • Capacity recovery — staff hours returned to higher-value work. Real, but not cash unless you change staffing or sell the freed time.
  • Cost avoidance — spend you no longer need to add, such as a hire you can defer.

How to start

List the tasks your team repeats weekly, record frequency and minutes per occurrence, attach a loaded hourly cost, and rank by annual cost. That single table usually reveals where the money is going before any software is involved.

Apply this to your business

The free Cost Leak Finder walks the same method and returns your Business Cost Leak Score. Hard-dollar savings, revenue recovery, capacity recovery and cost avoidance stay separate, and every figure is labelled ESTIMATED until measured.
